Health and other sensitive information
Some of our work — including DEPTH™ retreats and breathwork, movement or nature-immersion sessions — asks about your physical and mental health. We ask so we can keep you safe and hold the space well.
This may include medical conditions, medications, injuries, allergies, dietary needs, pregnancy, and mental health history. Under the Privacy Act this is "sensitive information", and we handle it with extra care:
- We collect it only with your consent, and only what we need for your safety and participation.
- Only the facilitators and support staff running your program or retreat can see it.
- We never use it for marketing.
- We delete or de-identify it [12 months] after your program ends, unless the law requires us to keep it longer.
You don't have to answer health questions. If you don't, we may not be able to offer you a place where safety depends on that information.
How we use and share your information
We use your personal information to:
- reply to your enquiries
- deliver the programs, retreats, subscriptions and resources you sign up for
- take payments and send receipts
- keep you safe at retreats and events
- send you our newsletter and updates, if you've opted in
- improve our website and offerings
- meet our legal and tax obligations.
We do not sell, rent or trade your personal information. We share it only with:
- Service providers who help us run our work, such as our website host, email platform, payment processor, booking system and app platform ([e.g. Squarespace, Mailchimp, Stripe, Kajabi]). They may use your information only to provide their service to us.
- Retreat venues and co-facilitators, limited to what they need, such as dietary needs or emergency contacts.
- Emergency services, if we believe there is a serious threat to your life, health or safety.
- Authorities, where the law requires or allows it.
Overseas disclosure. Some of our service providers store data outside Australia, including in the United States [and other countries]. We choose providers with strong security and privacy protections.
Cookies, analytics and social media
Cookies. Cookies are small text files a website stores on your device to remember your preferences and keep things working smoothly. You can block or delete cookies in your browser settings, though some parts of the site may not work as well.
Google Analytics. We use Google Analytics to understand how people use our site, such as which pages they visit and how long they stay. This data is sent to Google's servers, including in the United States. We see it only as combined reports, not as information about you personally. You can opt out with Google's opt-out browser add-on, and read how Google handles data in Google's Privacy Policy.
Advertising pixels. We may use the Meta (Facebook and Instagram) pixel to measure our ads and show them to people likely to be interested. You can manage this in your Meta ad settings.
Social media. Our site links to our Instagram, Facebook, YouTube and other social channels. If you like, share or follow us there, that platform's own privacy policy applies, and it may link your visit to your account with them.
Other websites. We're not responsible for the privacy practices of sites we link to. Please read their privacy policies.
Emails and opting out
We send newsletters and offers only to people who have signed up or bought from us, in line with the Spam Act 2003. Every email has an unsubscribe link, and you can also ask us directly to stop. Even after you unsubscribe, we may still send messages you need about a booking or purchase.
Keeping your information safe
We take reasonable steps to protect your information from misuse, loss and unauthorised access. These include secure, password-protected systems, encrypted payment processing, and limiting access to the people who need it to serve you.
We keep personal information only as long as we need it for the reasons above, or as the law requires (for example, financial records for 5 years for tax). After that we securely delete or de-identify it.
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner (OAIC), as the law requires.
Accessing your information and making a complaint
You can ask to see the personal information we hold about you, or ask us to correct it if it's inaccurate, out of date or incomplete. This is free. We'll need to confirm your identity first, to protect your privacy and other people's.
If you're concerned about how we've handled your information, please contact us. We'll respond within 30 days. If we need longer, we'll tell you when to expect an answer.
If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner on 1300 363 992.
